Description
We are reputed organization looking for an experienced and professional Executive Secretary to directly assist our executive office. The ideal candidate will play a crucial role in supporting the day-to-day activities, ensuring seamless coordination, efficient time management, and professional communication.
Key Responsibilities
1. Executive Support:
o Act as the primary point of contact between the executive and internal/external stakeholders.
o Manage the calendar, schedule appointments, and coordinate meetings.
o Prepare and review documents, reports, and presentations.
o Draft correspondence, emails, and memos on behalf of the organization in a professional and timely manner.
2. Meeting & Event Management:
o Plan and coordinate high-level meetings, ensuring agendas, materials, and participants are prepared in advance.
o Record and distribute minutes of meetings, highlighting action points and deadlines.
o Organize events, conferences, and travel arrangements, including visas, flights, and accommodations.
3. Communication & Liaison:
o Handle all incoming and outgoing communications, ensuring accuracy and professionalism.
o Build and maintain strong relationships with clients, partners, and stakeholders
4. Administrative & Organizational Support:
o Maintain and organize confidential files, records, and correspondence.
o Monitor and prioritize tasks, ensuring the executive office meets deadlines and objectives.
o Track projects and initiatives assigned, providing status updates regularly.
o Handle sensitive and confidential information with the utmost discretion.
o Maintain and update office records, files, and databases.
5. Office Coordination:
o Assist with managing office supplies and ensuring the office runs smoothly.
o Work closely with other departments to ensure seamless coordination of activities.
o Ensure compliance with company policies, standards, and protocols
o Support the organization of office events, meetings, and workshops, Compliance and Confidentiality
6. Clerical Duties:
o Handle mail distribution and manage incoming/outgoing courier services.
o Operate office equipment such as printers, copiers, and scanners.
Requirements
• Education:
o Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
• Experience:
o Minimum of 5 years of experience as an Executive Secretary or in a similar senior administrative role.
• Languages:
o Good command of English language and ability to undertake self-correspondence. Fluency of such language ( written and spoken) is mandatory.
o Proficiency in professional communication and drafting in English.
• Technical Skills:
o Must be computer literate with advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
o Strong typing skills.
• Soft Skills:
o Exceptional organizational and time-management skills.
o High level of professionalism and confidentiality.
o Strong interpersonal and problem-solving abilities.
o Ability to handle pressure and work in a fast-paced environment.
o Must be prepared to work flexible hours including evenings and weekends.
o Capacity to work under pressure
o A proactive and resourceful attitude with attention to detail.
o Other duties as assigned by seniors
